Reporting to the president, the candidate is responsible for providing administrative support, pilot committees for all the members of senior management and management.

Description of responsibilities 

  • Manage, prepare and plan business meetings for the senior management and shareholders, as well as prepare the agendas;
  • Manage and plan different conferences;
  • Oversee corporate events (golf, hockey, Christmas party, etc.);
  • Reserve flight tickets, hotels, vehicles for the senior management;
  • Write, verify, translate letters, memorandums, PowerPoint presentations;
  • Follow-up and update the senior management’s calendars and agendas;
  • Answer and filter all calls for management;
  • Verify the call for tenders on SEAO and MERX;
  • Prepare memorandums with the MTQ (contract periods) and Kativik;
  • Oversee the francization and organize semi-annual meetings;
  • Sort, open and distribute management’s mail;
  • Update many company agreements and contracts from time to time and follow-up on upcoming deadlines;
  • Manage the seniors’ timesheets;
  • Layout, print and enter the data from the reports;
  • Answer questions about donations and sponsorships;
  • Renew subscriptions, associations and magazines;
  • Manage annual cards for clients and suppliers;
  • Take part in selecting promotional objects;
  • Follow-up on expenses and expenditure statements;
  • Follow-up on invoices to pay (signatures, BP, etc.);
  • Carry out any other similar tasks requested by your immediate superior or needed for your functions.

Requirements:

  • DCS in office automation or relevant experience.
  • Minimum 5-10 years of work experience with senior management.

Salary: 60 000$ to 70 000$ per year

Schedule: Day / Monday-Friday

Status: Permanent
